Direceipt
Private pilot

The receipts are in your inbox. The gap is in your books.

Direceipt finds the QuickBooks Online purchases that have no receipt, finds the receipt in your email, your forwards or a photo, and attaches it to the purchase once a person approves the match.

Built for Canadian small businesses and the bookkeepers who work with them. Direceipt is in a private pilot and not yet open for sign-ups.

How it works

Four steps, and a person decides the one that matters.

1

Connect QuickBooks and your mail

Authorize your QuickBooks Online company and the mailboxes your receipts arrive in, read-only. Direceipt brings in your purchases and the files already attached to them.

2

Find what's missing

Each purchase is checked against how it is coded. An expense in Office Supplies needs a receipt; an owner's draw, a loan payment or a transfer does not.

3

Match, with the reasons

Receipts are matched on amount, date, merchant, the card's last four digits and currency. Each candidate shows why it matched, not just a score.

4

You approve, it attaches

The receipt is attached to the purchase in QuickBooks. If you choose, empty fields such as the tax code are filled in too. An attachment can be undone.

Where the receipts come from

  • Your mailboxGmail, iCloud Mail, Yahoo or Fastmail. New mail is checked every 15 minutes, and you can scan a past date range.
  • ForwardingEach company gets its own Direceipt address. Forward receipts from your team's addresses or senders you approve.
  • A photoSnap the paper receipt from your phone, including iPhone photos. A blurry one is flagged so you can retake it.
  • A statementImport a bank or card CSV for lines that aren't in QuickBooks yet. A matched receipt records the purchase.

What it handles

Receipts rarely match a charge to the cent on the same day. Direceipt is built for the cases that make matching by hand slow.

Sales tax

GST, HST and PST, read off the receipt

The tax shown on the receipt can set the matching tax code, once that update is turned on. A purchase of $30 or more that charges GST/HST with no valid registration number is flagged, because the CRA can refuse the input tax credit.

Meals

Tips, kept out of the tax

A restaurant charge that is higher than its receipt matches when the difference is the tip. No tax code is set that would take tax out of the tip.

Currency

US-dollar receipts on a Canadian card

A USD receipt matches its CAD charge when the bank's exchange rate falls in a normal range and the merchant agrees.

No charge yet

Record the purchase from the receipt

A receipt with no matching charge can be recorded in QuickBooks with the receipt attached. When the bank feed line arrives, QuickBooks offers Match instead of asking you to categorize.

No receipt needed

Charges that never have one

Loan payments, bank fees and transfers: mark the payee or the bank description once, and those charges stop showing as missing.

Merchants

Rules that learn your categories

Choose a category and tax code for a merchant once, and its next receipt is prefilled. A new merchant comes with a suggested QuickBooks vendor for you to approve.

More than one paper

An invoice and its payment, on one expense

An order confirmation leads to its charge, and extra papers for the same purchase go to review instead of being dropped.

Overview

A dashboard and one search box

Receipt coverage, spending by month, top categories and merchants, and the largest receipts still missing. Search receipts and charges by merchant, reference number or amount.

For bookkeepers

One login for every client company, and a record you can hand to an auditor.

Every client on one screen

The firm view lists each company you work with and what it still needs, and takes you into any of them in one click.

Roles for each person

Owner, administrator, reviewer, accountant or viewer, per company. Sign-in requires two-factor authentication.

The audit pack

One ZIP for a period: every purchase with its category, tax code and receipt state, the receipt files named so they can be found without the app, and the log of every decision.

Every decision recorded

Each approval, rejection, attachment and change is logged with who did it and when. An attachment Direceipt made can be undone.

Your data

QuickBooks stays the system of record

Direceipt attaches receipts. It creates a purchase only when you record one, and changes a category or memo only when you do it in Direceipt. Automatic fills, such as the tax code, are each off until an administrator turns them on; they fill only empty fields and skip reconciled expenses. Direceipt never deletes a transaction, and every change is recorded with who made it.

Email access is read-only

Direceipt never sends, modifies, labels or deletes mail. For each message it reads, it keeps an index entry: when it arrived, its subject, its sender and whether it is a receipt, and for one that looks like a receipt, the merchant, amount, currency and date read from it. The full message and its files are kept only for receipts.

  • Messages that are not receipts are not copied.
  • Contacts, calendar and other Google services are never accessed.
  • Disconnecting a mailbox revokes access and stops reading immediately.

AI reads, people decide

Anthropic's Claude models sort messages by their subject, sender and opening lines, read receipts, check proposed matches, and learn how your books are coded from your accounts and vendors. Only the content each step needs is sent, and it is not used to train AI models. Every candidate arrives with the reasons it matched. Automatic approval is off until an administrator turns it on, and even then covers only matches where the amount, date, merchant and card all agree. Each one is recorded in the activity log and can be undone.

Separation between customers

Each organization's records are isolated in the database itself, enforced independently of the application, so one customer cannot reach another's data even if application code is wrong.

Direceipt's use of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. Full detail is in the privacy policy.

Questions

Will Direceipt change my books?

Only in the ways you allow: attaching a receipt you approved, recording a purchase you asked for, changing a category or memo when you do it in Direceipt, and filling empty fields an administrator turned on. It never deletes a transaction.

Which mailboxes work?

Gmail through Google's read-only access, and iCloud Mail, Yahoo, Fastmail or another IMAP mailbox through an app password you create. Anything else can be forwarded to your company's Direceipt address.

Does it work with QuickBooks Desktop or Xero?

Not today. Direceipt works with QuickBooks Online.

What does the AI see?

A message's subject, sender and opening lines to decide whether it is a receipt; the receipt itself to read its amount, date, merchant and tax; and your accounts and vendors to learn how you code purchases. None of it is used to train models.

Is there a phone app?

An iPhone app is on the way. Today you can photograph a receipt from your phone's browser.

What happens if I leave?

Disconnecting QuickBooks or a mailbox revokes access at once. Receipts already attached stay in QuickBooks. Ask us and we delete your stored content and confirm when it's done.
